W-2 forms for wages are now available electronically. Paper forms have been mailed to the primary address in iO for individuals without U.S. Social Security Numbers or those who did not suppress the paper form by December 31, 2024. If you are expecting a paper form, please allow 2 weeks for delivery. If you have not received your paper form by the end of January, please contact the Payroll office at payroll@rice.edu. More information is provided in the W-2 email from Payroll dated January 15, 2025.
1095-C forms for employer health insurance will be postmarked by March 3, 2025. Email benefits@rice.edu with any questions.
1099 forms (such as 1099-MISC, 1099-NEC) have been issued by Accounts Payable as of January 30, 2025. Recipients can expect to receive the form in the first or second week of February in the mail. Please contact suppliers@rice.edu for any questions.
1098-T forms for tuition statements are now available electronically. A paper copy will be mailed to the student's permanent address in Esther for those who did not select to receive the form electronically. Forms are not generated for students whose qualified tuition and fees were waived, paid with scholarships, or covered by a formal billing arrangement, or for students who are nonresident aliens. 1042-S forms for foreign national's U.S. source income will be issued by the Tax office by February 28, 2025.

- Tax Notice on 2024 Graduate Fellowship Payments

Dear Rice Grad Fellows,
You may have received graduate fellowship payments during the 2024 calendar year from Rice. This notice is to help you understand what tax forms you can expect to receive from Rice regarding fellowship payments so you can properly analyze your 2024 tax return filing situation with the IRS.
You are able to identify your 2024 graduate fellow payments from the Grad Student Pay Report in iO. Please note that the Grad Student Pay Report includes not only your fellowship payments but all other kinds of payments made to you by Rice. This notice mainly focuses on your fellowship payments.

- New Tax Software for Foreign Nationals

Effective November 4, 2024, Rice has switched from the Foreign National Information System (FNIS) to Sprintax Calculus. This secure, cloud-based software is used to manage tax documents and determine U.S. tax residency status, income tax treaty benefits, and withholding requirements for foreign national students and employees.
Electronic Document Management: You can securely upload and manage important documents like passports, visas, I-20s, and DS-2019s electronically, eliminating the need for physical copies. No More Campus Trips: You won’t need to hand-deliver your tax treaty forms to the Payroll office anymore. Instead, you can electronically sign and submit your tax forms online. Integration with Sprintax Returns: Calculus will integrate with Sprintax Returns, allowing for automatic import of 1042-S data. This integration simplifies the U.S. income tax return filing process for nonresident aliens.
